How to Manage and Navigate RFQs from Sourcing Menu
00:00: This tutorial explains how to navigate and manage your sourcing activities within
00:04: Sustainment.
00:05: You will learn to access different RFQ statuses and understand the tools available
00:09: to streamline your sourcing process.
00:13: When you select Sourcing from the left-hand navigation, the menu
00:16: expands to give you quick access to your sourcing activity by status.
00:20: You'll see three categories.
00:23: In progress is where you can view all active RFQs.
00:26: The Draft section contains RFQs that have been started but not yet released.
00:31: Drafts allow your team to build and review requests before sending them out to
00:35: suppliers.
00:37: Closed is where you'll find completed
00:38: RFQs that have been closed out.
00:40: This is useful for reviewing past activity and historical sourcing data.
00:45: Let's dive into the in progress view.
00:48: The RFQ dashboard shows all active RFQs in your company's account.
00:55: You can toggle on Show Only My RFQs to narrow the list to RFQs of which you are a
01:00: part of the quoting team.
01:05: The visual indicators under the Team header show who owns the RFQ and supporting
01:09: teammates.
01:11: The initials inside the round icon denote the RFQ owner.
01:17: Supporting team members are denoted by initials in the Square icons.
01:23: A yellow circle and a humanoid with a check mark indicates RFQs of which you are the
01:28: owner.
01:30: Icons under the shortlist header
01:31: give a quick visual report of where each quote stands.
01:35: The gray icon with a question mark indicates, no response.
01:39: the yellow icon, with a dot indicates, the supplier intends to quote
01:43: The red icon with the X indicates a no quote.
01:47: and the green icon with the check mark indicates a quote has been received.
01:51: These visual management tools are designed to show what needs attention at a glance.
01:56: The Status field will show On Track, Needs Attention or Late,
02:00: And you can quickly reference, the quote, due date on the right side of the
02:03: dashboard.
02:05: You can sort by due date or RFQ name and filter to a specific search of name or
02:09: date.
02:12: You can click on the RFQ name to see a more detailed overview of a specific request
02:17: for quote, including quote comparison and supplier messaging.

02:25: The draft section of the sourcing dropdown shows quoting activity that has been
02:29: started but not yet sent to suppliers.
02:32: Saving an RFQ in the draft state
02:34: allows you to prepare a request for quote without making it live.
02:38: It gives your team members the opportunity to review the RFQ to ensure everyone is
02:42: aligned before sending it out for quote.
02:45: As with the in-progress view, you can toggle
02:48: the Show Only My RFQs button to show all company-wide drafts or only your drafts.
02:53: Additionally, you can sort and filter by RFQ name
02:57: And see the RFQ team associated with the quote.
03:00: Click the RFQ name to review the quote details and send the quote to suppliers.
03:06: The Closed section of the sourcing menu shows RFQs that have been completed.
03:11: As in other sections of the sourcing dropdown, you can toggle the show only my RFQs
03:16: button to show all company-wide closed RFQs
03:20: Or only your closed rfqs.
03:24: You can see team members associated with the RFQ,
03:27: which supplier was awarded the RFQ,
03:32: the quote due date,
03:34: and the RFQ status.
03:36: Clicking the RFQ name will show additional quote details on the RFQ overview page.
03:41: As on other Sourcing pages, you can sort by RFQ name, Due Date, and Supplier.
03:46: Additionally, you can filter by name, supplier, or due date for a specific search
03:51: result.
