How do I create a Community project that will get the attention of suppliers?
Creating a project that engages suppliers is key in the vast sea of opportunities on the Sustainment platform. How do you catch a supplier’s attention and stand out in the crowd? Following these tips can help bring some attention your way!
Creating an engaging project name
Create a project name that grabs vendors’ attention. Calling your request for quote “RFQ 123456” probably isn’t going to cut it. The project name should have a word or phrase that will engage the supplier, such as “Immediate Need–CNC Machining.”
Tip: Move your RFQ number to your Project Description as a note for reference and traceability if it will not fit in the Project Name with your attention-grabbing word or phrase.
Creating a concise, detailed project description
While the Project Name will entice suppliers to take a look at your project, the Project Description is what will hook them and request to join. Your Project Description should be concise and to the point while providing as much detail as possible. Providing a short blurb reiterating your project name will reinforce the statement made and allow you to paint a fuller picture. Clicking “Expert Tip” in the upper right corner of the project description box gives a bulleted list of helpful information that will assist in painting a clear, concise picture for suppliers evaluating project fit.
Expert Tip: copying and pasting the bulleted list into the project description box will save time and ensure details are not overlooked; you can fill in the information as you move down the list (see Project Example below).
Project Example
For our project, “Immediate Need – CNC Machining,” an engaging Project Description may read something like:
RFQ 123456
We have an immediate need for CNC machined parts - purchase order to be placed Friday; partial shipment of 75 pieces needed ASAP!! We are looking to source one part number, quantity 500, turned and milled from 6061 aluminum. Quote price and lead time with and without expedite.
- Number of unique parts: 1
- Quantities for each part: 500
- Materials and coatings (Be sure to list hard to source materials): 6061 aluminum, no coatings required
- General tolerances and acceptable deviations: +/-.005 everywhere, no deviations
- Packaging requirements: pack and ship to prevent damage
- Quality requirements (First article inspection, PPAP, etc.): ship parts with inspection documentation
- 3D model availability: 3D models available
- Project timeline (Lead time, expected PO date, estimated delivery): PO to be cut Friday, need parts by end of month; partial shipment of 75 pieces needed ASAP!!
