[Buyers](https://knowledgebase.sustainment.tech/knowledge/buyers?hsLang=en) # Creating and Managing RFQs From the Item Library 00:00: This video demonstrates how to create a RFQ from the items library while 00:04: efficiently using tags. 00:06: It also covers adding notes, selecting suppliers, and sending the RFQ through various 00:11: methods. 00:13: To star, We're going to select the items Library. You'll see a list of all the items 00:18: added into sustainment. To filter through tags, 00:21: select the drop down. We'll select these two here. 00:27: And it'll show us all the items that have these tags applied. 00:31: As well as recent POs that they might have been on, previous suppliers, and the last 00:35: delivery date. 00:37: To start, 00:37: we're going select a couple of item here. 00:42: And once we've selected them, we'll hit add RFQ. 00:46: Once you've selected that you will be re routed to the RFQ page. 00:51: This is where you can build out the actual RFQ. 00:54: You can select to email the RFQ to existing suppliers, or you could post it into 00:59: our network of suppliers. 01:00: For the details, we're going to give 01:04: The RFQ and name, give it a due date, and then any description that you need. 01:09: this is going to be an optional field. 01:14: As you scroll down, you will see the items, 01:16: any revisions if they exist. 01:18: You can also click into the item, see the description, see the drawings, as well as 01:23: the history of any RFQs that's been awarded. 01:31: Furthermore, you can adjust the quantity. 01:38: If there are any notes, perhaps a supplier part number, you can add that in here as 01:42: well. 01:47: Once you've come down to the select suppliers, this is where you can use the same 01:51: tags 01:51: we used to search the items in and it'll pull all the suppliers that you have 01:54: included with those tags. 01:59: If there's any additional files you can choose to add them in here 02:02: and then for sharing options. 02:05: You can choose to require the suppliers to log into sustainment. 02:11: And this is where you can also select if it needs to have an NDA or ITAR 02:15: registration, or you can send it through email. 02:18: If you send it through email, they do not need to sign in to sustainment. 02:22: They can respond directly to the email and it'll update within the sustainment 02:25: platform as well. 02:28: once you're ready to send it out, you'll hit add RFQ and that'll actually create the 02:32: RFQ and send it out to your suppliers. 02:38: Thank you. 02:39: Learn to build an RFQ by filtering items with tags, adding notes, selecting 02:44: suppliers, and sending the RFQ securely via email or platform login. You can build a request for quote (RFQ) straight from your Items library. Filter your items by tag, pick the ones you need quoted, then choose suppliers and how to share your files. **Select items** **1.** In the left menu, click **Items library**. **![01-open-items-library](https://knowledgebase.sustainment.tech/hs-fs/hubfs/01-open-items-library.png?width=670&height=367&name=01-open-items-library.png)** **2.** The Items library lists every item added to Sustainment, along with each item's recent PO, previous supplier, and last delivery date. To narrow the list, click the filter icon next to **Tags** and select one or more tags. Choose how to send your RFQ:** - **Email the RFQ to my existing suppliers:** Sends an email with an intro message, your items list with attached files, and any other attachments. - **Post your RFQ to our network of suppliers:** Shares the RFQ with the Sustainment supplier community. Your items and files stay private until you approve a supplier's request to join. Enter the details:** Give the RFQ a **Name** and a **Quote due date** (both required). Review your items:** The items you selected are listed under **Add items**. For each item you can: - Choose a **Revision**, if the item has more than one - Change the **Quantity** - Click the **Notes** icon to add details, such as a supplier part number - Click the item to see its description, drawings, and past RFQ history To add more items, use **Search library**. ![06-review-items](https://knowledgebase.sustainment.tech/hs-fs/hubfs/06-review-items.png?width=670&height=367&name=06-review-items.png) **7. Select suppliers:** Under **Select supplier**, search for suppliers or supplier lists and add them. The **Supplier intro message** is filled in for you. Upload additional files (optional):** Drag files into the upload area or click **browse**. Choose sharing options:** - **Require log in to view (most secure option):** Files are sent as a link and can only be opened once the supplier creates a Sustainment account. You can also limit files to suppliers with **ITAR Registration** or a **Signed NDA**. - **Send through email:** Files are sent as email attachments, with no Sustainment login needed. Files over 25 MB are sent as a link. - Check **Shortlisted members can download files** if you want shortlisted suppliers to be able to download. ![09-sharing-options](https://knowledgebase.sustainment.tech/hs-fs/hubfs/09-sharing-options.png?width=670&height=367&name=09-sharing-options.png) **Send the RFQ** **10.** Click **Add RFQ** to create the RFQ and send it to your suppliers.
